Important guidance for end of AEP enrollments

The 2017 Medicare Annual Election Period (AEP) ends on Wednesday, December 7. All Medicare AEP marketing efforts must cease on that date. Make sure you follow the guidelines below when submitting your final AEP enrollments to us. Remember, we’re here to support your great finish for AEP. Please contact us if you need any assistance.

Dec. 7

All AEP applications from beneficiaries for a January 1, 2017 effective enrollment must be completed, signed, dated and received by the agent no later than 11:59 p.m. December 7, 2016.

  • You may not backdate the member signature date, agent recipient date, or agent signature date.
  • Don’t forget to include your National Producer Number (NPN) on Aetna Medicare applications and your Coventry Agent Writing Number (AWN) on Coventry Medicare applications. (Exception: In Florida, include your NPN and AWN).

Submit apps within 2 days

We must receive signed Medicare enrollment applications within two calendar days after you receive them from beneficiaries. Review details about our enrollment turnaround time policy.

Dec. 9

We must receive all applications by December 9 to process them for a January 1 effective date.

After AEP

IMPORTANT: If you receive a completed enrollment application after AEP ends on December 7, do not hold or destroy it. Under CMS rules, you must still submit it to Aetna or Coventry within two calendar days as noted above. We then will process or deny the enrollment as appropriate.
